We are seeking an exceptionally organized, proactive, and discreet Executive Assistant to directly support our Chief of Staff. In this role, you will serve as a key operational partner—managing complex schedules, coordinating cross-functional executive projects, streamlining communication across leadership teams, and keeping strategic initiatives on track. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and exercises sound judgment under pressure.
Key Responsibilities
Calendar & Time Management: Own the Chief of Staff’s complex calendar, prioritizing requests, resolving scheduling conflicts, and ensuring prep materials are ready for all meetings.
Project & Workflow Coordination: Track key leadership deliverables, follow up on action items across departments, and help monitor progress on strategic business goals.
Executive Communication: Draft, edit, and proofread high-level correspondence, briefing memos, board decks, and company-wide announcements on behalf of the Chief of Staff.
Meeting & Event Logistics: Organize leadership team meetings, offsites, and strategic planning sessions—including agenda creation, note-taking, room setup, and vendor coordination.
Information & Gatekeeping: Serve as a primary point of contact for internal leadership and external partners; screen and prioritize incoming requests with tact and diplomacy.
Special Projects: Execute ad-hoc research, administrative tasks, and cross-departmental operations as requested by the Chief of Staff.
Qualifications

| Experience | 3–5+ years supporting senior executives, a Chief of Staff, or C-suite leaders in a fast-growing organization. |
| Technical Skills | Advanced proficiency in Google Workspace / MS Office 365, project management tools (Asana, Notion, Trello), and video conferencing platforms. |
| Communication | Exceptional written and verbal communication skills; ability to represent the Chief of Staff professionally across all levels. |
| Core Competencies | Impeccable discretion with confidential information, razor-sharp attention to detail, and a proactive problem-solving mindset. |
| Education | Bachelor’s degree in Business Administration, Communications, or related field (or equivalent combination of experience). |
