Title: Human Resources Associate
Location: Voorhees, NJ 08043
Schedule:Monday - Friday, 9am - 5pm with an hour lunch break (35 total hours per week)
Duration: 9 month contract
Pay Rate: $20-22/hr
Overview
This is a large-scale, nine-month HR File Clean-Up Project supporting a 1,600+ employee social services agency. The temporary team will perform detailed, hands-on work to reorganize, separate, label, and apply retention rules to thousands of hard-copy HR records. Work is repetitive, accuracy-driven, and essential for compliance with federal/state regulations and internal audit standards.
Key Responsibilities
Temp workers will support HR Generalists and project leads with the following:
- File Sorting & Organization
- Sort and reorganize personnel files into required compliance categories: Personnel, Medical / ADA / Workers’ Comp, I-9, Pre-employment, EEO, Archive-ready, Shred
- Separate active vs. terminated employees and maintain accuracy in file classification.
- Assist in correcting mixed or incorrectly filed documents.
Retention & Compliance Work
- Apply established federal and NJ retention schedules to determine which files to keep, archive, or securely destroy.
- Prepare shred-eligible files and follow chain-of-custody steps.
Labeling, Boxing & Physical File Room Work - Label cabinets, shelves, boxes, and folders according to standardized filing protocols.
- Re-box archive-eligible files and prepare materials for relocation to secure storage.
- Assist with physical reconfiguration of file rooms as systems are updated.
- Tracking & Documentation
- Update spreadsheet tracking logs daily (file status, location, retention classification).
- Report progress and barriers to HR Generalists or project supervisors.
Skills & Qualifications
- Strong attention to detail and ability to follow structured procedures.
- Comfort working with large volumes of paper files and repetitive tasks.
- Ability to learn compliance rules and apply them consistently.
- Reliability and strong work habits—timely, steady, and able to meet daily task goals.
- Prior records management, HR admin, legal admin, or compliance experience preferred but not required.
Physical & Work Requirements
- Ability to lift/move boxes up to 20–30 lbs.
- Frequent bending, standing, and moving between file locations.
- Entire assignment is onsite and hands-on—not remote, not clerical-only
- This work is high volume, detailed, process-driven, and repetitive by design.
- Accuracy and confidentiality are critical—files contain sensitive employee information.
- Temps must be comfortable working quietly, independently, and steadily for extended periods.
- The scope will not change; this is a compliance-focused, document-intensive project.
