About the Role
The Accounts Payable Specialist will be responsible for processing invoices, maintaining accurate vendor records, managing outgoing payments, and ensuring all financial documentation is compliant, organized, and up to date. You’ll play a crucial role in keeping financial operations running smoothly and supporting internal departments and external vendors.
Key Responsibilities
- Process invoices across multiple entities, verify transaction details, and prepare payment disbursements
- Maintain vendor ledgers, update financial records, and ensure all documentation meets retention standards
- Generate purchase orders as needed
- Research and reconcile vendor statements; apply prompt‑pay discounts and resolve discrepancies
- Build and maintain positive relationships with vendors to ensure accurate and timely payments
- Review and process credit card reconciliations
- Maintain electronic files and financial databases
- Assist with annual audits and support other accounting functions as needed
- Prepare and update internal/external correspondence and reports
- Ensure compliance with internal policies and procedures
What We’re Looking For
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 2+ years of accounts payable experience
- Computer proficiency, including Microsoft Word, Excel, and accounting/payroll systems
- Experience with SAGE 100 or MAS 90 preferred
- Understanding of chart of accounts, general ledger coding, and internal controls
- Strong attention to detail, organizational skills, analytical ability, and communication skills
- Ability to work independently, meet deadlines, and maintain confidentiality
- Team‑oriented mindset with strong problem‑solving abilities
