Executive Administrative Assistant – University HR Department
Norfolk, VA | Monday–Friday 8am-5pm| Full-Time
Pay: $18.08 - $22.08 per hour
PeopleShare Norfolk is seeking an Executive Administrative Assistant to support the Human Resources Office at a prominent university in Norfolk. This role is ideal for an organized, detail‑oriented administrative professional who thrives in a fast‑paced environment and enjoys being a key point of contact for employees, students, and visitors.
✨ Job Duties
The Executive Administrative Assistant will:
Serve as the first point of contact for the HR Office, providing professional customer service to internal and external stakeholders.
Support daily HR operations, including record keeping, document tracking, and staffing/recruiting assistance.
Maintain departmental logs for all incoming and outgoing documents.
Provide administrative support that promotes a fair, equitable, and high‑quality working and learning environment.
Deliver exceptional customer service with professionalism, innovation, and a solutions‑focused approach.
Assist HR leadership by ensuring efficient, cost‑effective services and resources that support the university’s mission.
Uphold confidentiality, discretion, and professionalism in all interactions.
📌 Minimum Qualifications
Ability to interpret and follow university policies, procedures, and HR guidelines.
Knowledge of Virginia Department of Human Resource Management policies.
Experience using standard office equipment (computers, printers, scanners, fax machines).
Ability to work independently with sound judgment, tact, and discretion.
Strong organizational skills and the ability to prioritize multiple tasks.
Experience greeting customers and managing multi‑line phone systems.
Knowledge of filing systems, record‑keeping procedures, and document organization.
Ability to draft memos, letters, and emails; evaluate documents; and determine appropriate actions.
Proficiency in Microsoft Office Suite (Word, Excel).
Experience with HRIS or HR platforms.
Strong verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information.
Ability to work under pressure, manage competing deadlines, and maintain professionalism.
Resilience and assertiveness in high‑pressure situations.
High school diploma or equivalent; relevant education, training, or experience that provides the required skills.
⭐ Additional Considerations
Bachelor’s degree in Business, HR, or a related field.
Previous HR administrative experience.
Experience working in higher education.
