Executive and Board Administrator

PeopleShare is seeking an experienced Executive and Board Administrator to serve as a strategic partner to the Executive Director of a respected nonprofit organization. This role supports executive leadership and board operations, ensuring effective governance, organization-wide coordination, and smooth day-to-day operations.
The ideal candidate has 5+ years of experience supporting C-level executives, strong knowledge of board governance, and a proven ability to manage complex priorities with professionalism and discretion.
Key Responsibilities
Executive Prioritization & Planning
Serve as a strategic partner to the Executive Director, supporting priority setting, initiative tracking, and leadership coordination.
Lead weekly or as-needed prioritization meetings, ensuring timely execution of action items.
Manage complex scheduling needs and anticipate calendar conflicts.
Executive Support & Communication
Draft and manage sensitive internal and external communications on behalf of executive leadership.
Represent the Executive Director in interactions with board members, senior staff, and external stakeholders.
Coordinate travel arrangements, expense reporting, and logistical details for executive activities.
Board Governance & Coordination
Plan and execute board and committee meetings, including agendas, documentation, and follow-up on actions.
Maintain governance records, oversee board member onboarding, and ensure compliance with bylaws and policies.
Support ongoing board communication and evaluation processes.
Governance Systems & Compliance
Maintain secure and organized document management systems for governance materials.
Track board membership, terms, and committee assignments; ensure database accuracy.
Manage online board communities and platforms, ensuring timely updates and engagement.
Project Management & Event Coordination
Lead cross-functional projects such as annual reports and other executive initiatives.
Coordinate logistics for retreats, board events, and organizational meetings.
Support virtual and hybrid event facilitation in partnership with technical staff.
Administrative Oversight & Team Coordination
Supervise and guide administrative support staff.
Oversee scheduling and documentation of meetings and organizational events.
Contribute to process improvement and overall operational effectiveness.
Qualifications
Required:
Bachelor’s degree in business administration, communications, or a related field (or equivalent experience).
Minimum 5 years of experience providing high-level administrative support to C-suite or board leadership.
Expert-level communication and organizational skills.
Strong knowledge of governance practices and board operations.
Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and virtual meeting tools (Zoom, WebEx).
Experience with project management and document management platforms (Asana, Monday.com, OneDrive, etc.).
Must be authorized to work in the United States and able to work onsite.
Preferred:
Bilingual fluency in Spanish.
Experience in nonprofit governance or compliance.
Event and meeting planning experience (retreats, national meetings, hybrid events).
Supervisory or team coordination experience.
