Key Details
- Location: Hartford, CT
- Pay Rate: $22 per hour
- Dress Code: Business casual (no jeans)
- Schedule: Monday to Friday, 8:00 AM to 5:00 PM, with a total of 45 regular hours per week
Daily Duties
- 70% Reception: Answering phones, greeting guests
- Making coffee and ensuring coffee supplies are replenished
- Assisting in the Mailroom when needed
- No extensive lifting, standing, or walking
- Reception background required; ability to provide a high level of customer service and communicate positively with attorneys and clients

Responsibilities
- Provide exceptional customer service within the legal environment
- Maintain utmost professionalism and willingness to assist legal customers, including law partners, paralegals, and legal administrative assistants with value-added services
- Meet and greet all visitors and employees with a professional welcome, going above and beyond in service
- Schedule meeting rooms, ensuring each room has necessary supplies, beverages, and video conferencing equipment before clients' meeting times
- Answer all incoming telephone calls according to firm/Ricoh phone etiquette expectations, ensuring professional communication
- Engage in company and community service events, firm initiatives, and philanthropies
- Perform light clerical/admin assistant duties:
- Conduct a range of clerical tasks requiring knowledge of legal procedures and terminology
- Prepare documents, maintain files and calendars, and schedule appointments and meetings as needed
- Prepare legal documents and correspondence from drafts or dictated text as required
- Manage calendars and assist in meeting deadlines
- Perform light housekeeping duties, maintaining an organized workspace
- Provide “value-added” services as approved by Site Manager/Supervisor
- Build professional relationships with clients and employees within the firm
- Educate oneself on firm culture, key personnel, and assimilate into the culture
- Understand firm culture and expectations regarding greeting clients and visitors
- Maintain proper visitor and guest security procedures per Ricoh and firm guidelines
- Monitor the whereabouts of attorneys and staff to appropriately handle calls, visitors, and questions
- Serve as firm concierge for guests, clients, and staff, familiarizing with the area, restaurants, coffee houses, etc.
- Maintain a professional appearance and cleanliness of the firm lobby
- Order supplies as necessary and organize the supply room and closets
- Provide light hospitality, including coffee, water, and ordering food and drinks
- Perform other duties as assigned
Skills and Qualifications:
- Experience with records management, printing, or mail sorting is preferred.
- Basic computer literacy (training on specific programs provided).
- Ability to work on your feet and lift up to 20 lbs as needed.
- Strong organizational skills with a keen eye for detail and quality control.
- Flexibility to adapt to changing tasks and schedules.
