This role serves as the face of the office while providing critical administrative support to our field and shop operations. Schedule & Environment Key Responsibilities Reception & Greeting: Manage a simple multi-line phone system and provide a warm, professional greeting to all incoming guests. Field Operations Support: Process weekly field packages from foremen (including receipts, tickets, time-off requests, and timesheets) and distribute them to the appropriate departments. Administrative Workflow: Check daily mail and monitor the invoices email inbox—printing, matching tickets to invoices, and writing job numbers for processing. Procurement & Logistics: Process online orders for the runner and Field/Shop teams. Manage inventory by ordering office supplies and keeping the kitchen stocked. Office Upkeep: Maintain a clean, organized, and professional reception area at all times.
Qualifications Technical Skills: Advanced Excel skills are essential for this role. Detail Orientation: High level of accuracy in matching invoices and processing field paperwork. Communication: Strong verbal communication skills for phone and in-person interactions. Reliability: Must be able to consistently report to the office by 7:30 AM.
