POSITION OVERVIEW
The Board Relations Coordinator supports the Board Governance by managing board logistics, coordinating recruitment, onboarding, preparing materials, and facilitating communication to keep board operations running smoothly.
ESSENTIAL DUTIES & RESPONSIBILITIES
Board Governance
- Coordinate calendars, schedules, and logistics for Board meetings, including travel and venues.
- Take notes during committee and task force meetings and distribute summaries and meeting minutes.
- Maintain and update board records, including charters, bylaws, policies, contact lists, and governance documents.
- Track board member terms, committee assignments, meeting attendance, and engagement.
- Keep board member profiles current in internal platforms.
- Assist with compiling and sharing the board competency matrix and other governance tools.
- Prepare quarterly board-related updates for the executive team.
- Maintain an archive of governance materials, including board decisions and historical documents.
- Monitor compliance with board-related requirements such as annual disclosures and trainings.
- Support periodic reviews or audits of governance documents and practices.
- Serve as the main administrative contact between the Board and executive team.
- Help prepare and distribute agendas, reports, and presentation materials.
- Manage the board calendar, including meetings, retreats, trainings, and key milestones.
- Partner with the Staff Lead of Board Governance on board engagement and special projects.
- Support onboarding of new board members, including welcome packets and introductions.
- Assist with board recruitment efforts in partnership with the Staff Lead of Board Governance and Director of Human Resources.
- Coordinate recruitment logistics, including application management and interview scheduling.
- Maintain a pipeline of prospective board candidates and related records.
- Handle scheduling and follow-up communication for board candidate interviews.
HR Administration
- Maintain and monitor the HR inboxes, triaging routine inquiries and directing messages to appropriate team members.
- Manage and update employee personnel files to ensure accuracy, confidentiality, and compliance with recordkeeping requirements.
- Coordinate administrative components of HR processes such as new-hire paperwork, acknowledgements, and policy sign-off tracking.
- Assist with data entry and routine updates to HRIS or other HR tracking systems.
- Support HR team with preparing standard HR correspondence (e.g., verifications of employment, employee memos).
- Help organize and archive HR forms, templates, and communications.
- Support onboarding and offboarding processes, including preparation of materials and scheduling sessions.
- Help coordinate logistics for HR trainings, meetings, or events.
- Maintain HR policy and document libraries, ensuring current and organized materials.
- Prepare routine HR communications and announcements as directed.
KNOWLEDGE, SKILLS, AND EXPERIENCE
- Bachelor’s degree in Business Administration or Public Administration or a related field, or equivalent experience.
- Minimum of 5 years of experience in administrative support within a nonprofit or governance environment.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in board management software.
- Excellent written and verbal communication skills.
- Ability to manage confidential information with discretion and professionalism.
- Event planning experience, including logistics, timeline management, and stakeholder communication.
- Ability to travel up 10% in a calendar year.
SUPERVISORY RESPONSIBILITIES
This position reports to the Director, Human Resources and does not have any direct reports.
