Administrative & Office Coordinator Job Summary:
This role is heavily focused on administrative support, scheduling, record-keeping, and office organization. As the primary administrative contact, you’ll be responsible for ensuring meetings, calendars, documents, and internal systems are running smoothly. This is a great opportunity for someone who enjoys structure, is highly organized, and thrives in a support-focused role with occasional event coordination.
Administrative & Office Coordinator Key Responsibilities:
- Manage calendars, coordinate meetings, and handle scheduling for internal committees and leadership
- Prepare and distribute meeting materials, agendas, minutes, and follow-ups
- Maintain organized digital files and ensure shared drives are updated and accessible
- Oversee logistics for meetings, including room setup, food ordering, and supply coordination
- Provide administrative support for vendor invoicing, billing packages, and general office operations
- Help coordinate internal communications, including preparing newsletters and stakeholder updates
- Support community events with planning, scheduling, and administrative tracking (minimal onsite work)
- Respond to public inquiries and serve as a point of contact for business stakeholders
Administrative & Office Coordinator Job Requirements:
- Bachelor’s degree in Business Administration, Office Management, or equivalent experience
- 2–3 years of administrative experience in a professional office environment
- Proficiency in Microsoft Office (Excel, Word, PowerPoint), Google Drive, and Zoom
- Strong organizational skills, attention to detail, and the ability to multitask effectively
- Excellent written and verbal communication skills
- Familiarity with Canva, Adobe Creative Suite, or design tools is a plus
