We are seeking a detail-oriented and proactive Logistics Coordinator to manage and streamline our international shipping operations. In this role, you will be responsible for the precise execution of global shipments, ensuring compliance with international regulations, and maintaining real-time visibility across our supply chain. You will act as a vital link between our procurement, warehouse, and external carrier partners.
Key Responsibilities
Shipment Management & Tracking
Update the International Shipment Tracker daily to ensure data integrity and real-time visibility.
Execute bookings via our internal global booking platform on Microsoft Teams based on Supply Chain requirements.
Coordinate with transportation providers, ensuring actual costs align with negotiated rates on the tracker.
Provide proactive tracking information and feedback to internal departments professionally.
Compliance & Documentation
Ensure all shipping methods comply with domestic and international laws, specifically for the United States, Canada, Australia, and Italy.
Generate and audit essential documentation: Commercial Invoices (CI), Packing Lists (PL), Bills of Lading (BL), PARS, and POE.
Manage the DHL platform to obtain quotes, create labels, and verify VAT numbers, POC, and contact details to eliminate billing errors.
Utilize Microsoft SharePoint for organized document storage and shipment identification.
Operational Execution
Manage Branch Transfers (BT) from Suffolk to Delta and Vaughn, ensuring "full package" documentation is sent to Livingston.
Employ personal judgment and discretion to select the most efficient routes within pre-negotiated lanes to reduce costs.
Monitor warehouse operations to improve overall supply chain efficiency.
Required Skills & Qualifications
Technical Proficiency
Microsoft Excel (Advanced): Used for tracking, forecasting, and reporting.
Collaboration Tools: MS Teams and SharePoint.
Shipping Platforms: DHL, UPS, and FedEx.
ERP Awareness: Familiarity with systems like SAP or Oracle is a plus.
Core Competencies
High Attention to Detail: Error-free management of customs forms and invoices is critical.
Organization & Time Management: Ability to juggle multiple shipments and deadlines simultaneously.
Problem-Solving: Swift handling of delays, lost shipments, or route disruptions.
Communication: Clear coordination with suppliers, carriers, and warehouse staff.
Industry Knowledge
Solid understanding of international shipping rules, customs, and compliance.
Familiarity with supply chain processes from supplier to end customer.
Experience following established lane instructions and cost-effective delivery routes.
