Executive Administrative Assistant Job Details:
Schedule: Flexible start time between 8:00 AM – 9:00 AM (8-hour shifts)

Executive Administrative Assistant Job Description:
- Manage and maintain confidential HR files and records
- Assist with audits and organize audit-related data and documentation
- Create and maintain spreadsheets, reports, and tracking logs
- Update vendor lists and assist with renewals, expenses, and grants
- Perform basic bookkeeping duties including A/P, A/R, invoicing, and expense tracking
- Utilize spreadsheets and MIP Fund Accounting software for reporting and record keeping
- Provide administrative support to the Director of HR, Finance Manager, and Executive Director
- Draft correspondence and maintain organized office records/files
- Assist with general office operations and administrative projects as needed
Executive Administrative Assistant Job Requirements:
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Ability to work independently and take initiative
- Comfortable making suggestions, asking questions, and problem-solving
- Advanced Microsoft Excel skills including pivot tables/charts and reporting
- Proficient in Microsoft Word and Outlook
- Experience with database management systems
- Prior bookkeeping/accounting support experience preferred
- Previous administrative support experience in HR, finance, or executive office settings preferred
