Position Summary
The Remittance Coordinator is responsible for accurately processing employer contribution reports, supporting retirement and pension plan administration, and acting as a key liaison between employers, participants, and the plan’s recordkeeper. This role ensures timely and precise handling of contribution data, participant requests, and transactional support for union benefit plans. The ideal candidate is detail‑oriented, organized, and comfortable working with sensitive financial information.
Key Responsibilities
- Receive, review, and enter employer remittance reports for retirement, savings, and pension plans.
- Verify contribution accuracy, eligibility, and proper allocation to participant accounts.
- Follow up with employers on missing, incomplete, or late remittances and resolve discrepancies promptly.
- Communicate regularly with the plan’s recordkeeper to ensure accurate posting of contributions.
- Provide updated participant data, resolve file errors, and address any contribution or balance issues.
- Monitor transaction files and coordinate corrections when needed.
- Process participant requests related to withdrawals, loans, rollovers, and distributions according to plan rules and compliance requirements.
- Prepare and submit required documentation to the recordkeeper for transaction processing.
- Respond to participant inquiries regarding contributions, account balances, and pension-related questions.
- Ensure all remittances and transactions comply with plan provisions, union requirements, and applicable regulations.
- Assist with preparation of audit materials, reconciliation reports, and year-end contribution reviews.
- Maintain accurate records of employer submissions and participant transactions.
- Work closely with the Retirement & Savings/Pension department to support ongoing plan administration.
- Coordinate with other internal teams to maintain up‑to‑date member data and resolve employer or participant issues.
Qualifications
- Prior experience in benefits administration, retirement/savings plans, payroll, or related financial processing preferred.
- Strong data-entry accuracy and attention to detail.
- Ability to review and reconcile numerical data.
- Strong communication skills when working with employers, members, and vendors.
- Proficiency with MS Excel and benefits administration systems.
- Ability to handle confidential information with discretion.
