Compensation Range: $64,720.51 - $80,264.89

FLSA Status: Full-Time, Exempt
POSITION OVERVIEW
The Executive Coordinator provides administrative support to the executive team and requires sound judgment, discretion, and strong organizational skills to manage competing priorities in a fast-paced, mission-driven environment. This role facilitates clear communication, manages demanding schedules, and supports key initiatives to drive executive productivity.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Manage executives’ calendars, resolve scheduling conflicts, and coordinate meetings, travel, and logistics for internal and external engagements.
- Coordinate logistics for executive-level meetings, including agenda preparation, note-taking, and follow-up tracking.
- Organize internal leadership meetings and manage key external stakeholder engagements.
- Draft and manage communications, prepare presentation materials, and compile information to support executive decision-making.
- Handle sensitive information - including human resources, financial, and strategic materials - with the utmost discretion.
- Improve administrative systems and workflows to increase operational efficiency.
- Support executive operations and escalate time-sensitive or critical issues to the appropriate executive team member.
- Maintain strong relationships with internal and external stakeholders, including funders, board members, and partner organizations.
KNOWLEDGE, SKILLS, AND EXPERIENCE
- Bachelor’s degree in Business Administration, Communications, Management, or a related field, or equivalent professional experience.
- Minimum of 5 years of experience providing executive-level administrative support in a fast-paced environment.
- Demonstrated project management skills, with the ability to manage multiple priorities, tasks, and deadlines.
- Highly organized with strong attention to detail; proven success managing complex calendars, logistics, and competing demands.
- Excellent written and verbal communication skills, with the ability to draft, edit, and format professional correspondence and materials.
- Proven ability to maintain confidentiality and handle sensitive information with sound judgment and discretion.
SUPERVISORY RESPONSIBILITIES
This position reports to the Chief of Staff and does not have any direct reports.
