Job Summary for Front Desk Admin:
We are seeking a reliable, organized, and proactive Office Attendant to support our daily operations and ensure a welcoming, functional environment. The ideal candidate will handle a variety of clerical tasks, including managing office supplies, greeting guests, answering calls, and ensuring that common areas, such as the kitchen and conference rooms, are tidy and stocked.
Key Responsibilities for Front Desk Admin:
- Front Desk & Reception: Greet visitors, clients, and vendors warmly and direct them to the appropriate person or meeting room.
- Communication: Answer and direct phone calls, take messages, and manage incoming/outgoing mail and deliveries.
- Office Maintenance: Tidy reception areas, conference rooms, and communal areas (kitchen/breakroom) daily. Monitor coffee/snack stations to keep them stocked.
- Inventory Management: Track inventory levels of office supplies (stationery, kitchen supplies, cleaning products), place orders, and restock supplies when delivered.
- Administrative Support: Perform basic data entry, file documents, scan, copy, and fax materials.
- Meeting Setup: Prepare conference rooms for meetings (organize chairs, ensure audio/video equipment is ready) and assist with catering, if needed.
- Errands: Run errands as needed, including delivering mail to the post office or purchasing emergency office supplies.
- Safety & Compliance: Follow all office security protocols, such as logging visitors and managing badges.
Required Qualifications & Skills for Front Desk Admin:
- Education: High school diploma or equivalent.
- Experience: 1–3 years of experience in an office environment, customer service, or administrative role.
- Communication: Excellent verbal and written English communication skills.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with general office equipment (copiers, scanners).
- Organizational Skills: Strong attention to detail, multitasking abilities, and time management skills.
- Personality: Professional demeanor, proactive, and friendly with a team-player attitude.
- Physical Requirements: Ability to lift up to 25 pounds, occasionally.
Preferred Qualifications
- Experience using virtual meeting tools (Zoom, Microsoft Teams).
- Experience with basic bookkeeping or expense reports.
