PeopleShare is hiring an Executive Assistant for a housing development company in Suffolk, VA.
Schedule:
Current: Monday–Thursday, 7:00 AM – 6:00 PM (1-hour unpaid lunch), Fridays off.
Alternative flex: 7:00 AM – 5:30 PM with 30-minute lunch.
Starting September: Monday–Friday, 8:00 AM – 5:00 PM (1-hour unpaid lunch).
Dress Code: Office Professional
Pay Rate (Perm): $20.50/hr

Job Overview
As the Executive Assistant, you will provide high-level administrative support to the Executive Director and leadership team. This position requires excellent organizational skills, discretion, and the ability to handle sensitive and complex matters with professionalism.
Daily Responsibilities include:
Managing calendars, scheduling appointments, and following up on key matters for the Executive Director.
Preparing and organizing materials for Board of Commissioners’ meetings, including agenda packets.
Making travel arrangements (transportation, accommodations, conference/workshop registrations, per diem preparation).
Handling correspondence and documentation with technical, legal, and financial terminology.
Typing, dictation, and transcription.
Maintaining accurate office records and generating reports.
Frequent interaction with high-level officials and stakeholders.
Managing multiple priorities and working under pressure while conserving leadership’s time.
Requirements
3–5 years of proven experience in an executive administrative assistant or senior secretarial role.
High school diploma required; business school or college degree preferred.
Strong dictation and transcription skills (technical, legal, and financial terminology).
Excellent communication skills in business English, spelling, and grammar.
Ability to multitask, prioritize, and work independently with little supervision.
Strong time management and organizational skills.
Proficiency with standard office practices, procedures, and systems.
Professional demeanor with the ability to interact effectively with top-level officials.
Additional Details
Onsite Position: Not remote or hybrid.
Training: Some in-office training provided.
Background: No major issues preferred; case-by-case consideration.
