Manage logistics for board and committee meetings: scheduling, agendas, minutes, room setup, and catering
Maintain shared drives, calendars, rosters, and records to ensure smooth internal operations
Greet and assist callers, walk-ins, and community members with a helpful, service-first attitude
Support planning and logistics for community events and programs — including venue booking, vendor coordination, and material prep
Assist with monthly newsletter production and distribution, both digital and physical
Prepare vendor billing and payment packages, ensuring accuracy and timeliness
Track sponsorships and grants, using tools like Placer.ai to support reporting and funding efforts
Help manage ongoing operational initiatives such as the district’s Billboard Program
Provide general administrative support to leadership and team members to ensure organizational efficiency
Requirements for the Administrative and Program Coordinator role:
- Bachelor’s degree in Business Administration, Event Management, or a related field (or equivalent work experience)
- 2–3 years of experience in administrative, event coordination, or program support roles
- Proficiency in Microsoft Office, Google Drive, and Zoom; experience with Canva or Adobe is a plus
- Highly organized with excellent written and verbal communication skills
- A naturally curious, community-minded individual who enjoys working in a team and building long-term relationships
