Office Manager Job Description:
-Overseeing business operations for site- sales and engineering office, (approx 40-70 there on any day, but 140ppl total),
-Maintain and order office supplies, and orders special sales & marketing supplies upon request
-Expense reports & invoicing to AP/AR
-Prepares for staff meetings- sends out invites, checks tech, orders catering, etc.
-Member of the party planning and team building committee, actively participates in ideas and executes the preparation and day of activities (i.e. creating company fliers/signs, sending out notifications, making nametags, decorating, calling locations or vendors, picking up supplies, ordering refreshments, etc.)
-Assistant to HR Manager - Light hr admin work, like prepping for new hire orientation, entering employees into system, creating badges, etc
-Communicate with all levels of staff, clients, and vendors via email, phone, letter, and in person
-Assist with various projects and requests, and vetting out those that are unable to be completed in a timely manner dependent on the type of request
Office Manager Job Requirements:
- 2+ years experience as a Senior Admin Assistant or Office Manager, with ability to take ownership of their responsibilities and handle the day-to-day admin operation of a busy Sales office.
-Need excellent prioritization skills and comfort in telling people no. Fast paced, a lot of deadlines, multi-tasking, people making requests for assistance with their projects
-Event planning, conference room set up, etc. exp would be helpful
-Tech Savvy and skilled in Microsoft Suite- Especially Outlook, calendars, Teams (task lists, meetings, and communication), Excel spreadsheets (maintenance), basic Word and PowerPoint. Experience with Canvaa or similar creative program would be helpful.
-Great communicator, comfy to reach out for more detail if needed, but once you have details, able to work independently and meet deadlines without being micromanaged.
-Takes good notes and uses their resources prior to asking the same questions multiple times.
-Positive friendly attitude with all levels of office
