Customer Service Coordinator / Associate Account Manager – Bedford Park, IL

Schedule: Monday-Friday, 8:30 AM - 5:00 PM
About the Opportunity:
Our client is seeking an organized, customer-focused Customer Service Coordinator / Associate Account Manager to serve as the primary point of contact for customers while coordinating orders, timelines, and communication between Sales, Production, Supply Chain, Shipping, Quality, and Operations teams.
This role is ideal for someone who enjoys working directly with customers, coordinating projects, and serving as the connection between customers, sales, production, and operations teams. Customer Service & Account Management
Serve as a primary point of contact for customers via phone, email, and other communication channels.
Build and maintain strong relationships with customers and internal business partners.
Provide professional, efficient, and responsive customer service.
Respond to customer inquiries and communicate updates regarding orders, projects, and delivery timelines.
Follow through on customer requests and concerns to ensure a positive customer experience.
Act as a liaison between customers, sales representatives, and operational teams.
Order Management & Coordination
Process and manage customer orders utilizing SAP and other internal order management systems.
Collect, review, and verify information required for accurate order entry.
Understand, document, and communicate customer requirements and specifications, including quantity, quality, schedule, delivery requirements, and other critical customer expectations.
Ensure customer information and order details are accurately maintained within internal systems.
Track order status and communicate updates to customers and internal teams.
Ensure all requested ship dates and customer delivery requirements are met.
Communicate manufacturing capabilities, scheduling limitations, and production timelines to customers and sales teams as necessary.
Cross-Functional Collaboration
Work closely with Quality, Shipping, Production, Supply Chain, Sales, and Operations teams to coordinate customer requirements and project timelines.
Communicate daily with internal and external customers to coordinate delivery of customer needs.
Ensure all stakeholders remain informed regarding order status and project updates.
Coordinate customer requirements and project timelines across multiple departments.
Support continuous communication and collaboration between teams to ensure successful project execution.
Customer Project Support
Assist with scheduling customer visits, press checks, facility tours, and meetings.
Coordinate logistics including meeting space, technology requirements, schedules, meals, and attendee support.
Manage the proof approval process, including transmitting proofs to customers following production approval and ensuring timely return of approved proofs.
Track project milestones and ensure deliverables remain on schedule.
Support customer-specific projects and initiatives as needed.
Sample Inventory & Shipping Support
Maintain sample inventory and coordinate customer sample requests.
Pull, package, mail, and deliver product samples as requested.
Coordinate shipping requirements and requested delivery dates.
Assist with the movement and delivery of supplies, products, and materials as needed.
Administrative & Operational Support
Maintain accurate customer records and documentation.
Support order processing, project tracking, and customer communications.
Assist with special projects and customer initiatives.
Maintain satisfactory attendance and timeliness.
Provide support to ensure customer expectations are consistently met.
Compliance & Quality
Responsible for understanding and complying with applicable quality, environmental, and safety requirements.
Ensure adherence to company policies, customer requirements, and operational procedures.
Support continuous improvement initiatives related to quality, customer service, and operational excellence.
Required Qualifications
High school diploma or equivalent required.
Bachelor's degree preferred.
2+ years of experience in customer service, account management, logistics, supply chain, sales support, order management, operations coordination, or a related field demonstrating increasing levels of responsibility.
Strong customer-facing experience with the ability to build professional relationships.
Excellent written and verbal communication skills.
Strong attention to detail and ability to identify and resolve discrepancies.
Proficiency with Microsoft Office Suite.
Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
Experience within a manufacturing, production, logistics, supply chain, or distribution environment strongly preferred.
Experience utilizing SAP, Radius, or other ERP/order management systems.
Experience coordinating customer orders, production schedules, shipping requirements, and project timelines.
Bilingual in Spanish, French, or Italian is a plus.
Additional Requirements
Ability to travel to company offices, customer sites, meetings, training sessions, and events up to 5% of the time as business needs require.
