Senior Client Delivery Specialist (Executive Legal Assistant)
Location: St. Louis, MO (Onsite 4 Days Per Week)
Compensation: $70,000 - $90,000 DOE
The Executive Legal Assistant will provide dedicated support to a senior Partner within a sophisticated Private Wealth practice.
This individual will serve as a trusted operational partner to the attorney, taking ownership of workflow management, client service coordination, legal administrative support, and technology-driven process improvements.
The ideal candidate is highly organized, technologically savvy, detail-oriented, and capable of managing sensitive matters with professionalism and discretion.
This role supports one Partner and requires a polished professional who can confidently interact with clients, advisors, and internal stakeholders while maintaining the highest level of service and confidentiality.
Trust & Estate, Estate Planning, Fiduciary Administration, or Private Wealth experience is highly preferred.
Key Responsibilities
Strategic Workflow Ownership
- Serve as the primary operational support professional for a senior Partner within the Private Wealth practice.
- Manage and coordinate all workflow, deadlines, priorities, and administrative functions.
- Anticipate attorney needs and proactively address issues before they arise.
- Track ongoing projects, monitor milestones, manage deliverables, and ensure timely completion of assignments.
- Coordinate with internal teams and delegate work as appropriate to ensure efficiency, coverage, quality control, and seamless execution.
- Provide regular updates on project status and workflow priorities.
- Exercise independent judgment and problem-solving skills with minimal supervision.
- Handle special projects and other duties that support the success and efficiency of the practice.
Document & Legal Administrative Support
- Prepare, revise, edit, format, and proofread legal documents, correspondence, presentations, and reports.
- Manage document organization, version control, filing, and secure document storage.
- Coordinate document execution, filing, distribution, and record maintenance.
- Maintain exceptional accuracy while managing multiple priorities and competing deadlines.
- Ensure all work products reflect a high degree of attention to detail.
Email & Executive Support
- Proactively manage attorney inboxes and communications.
- Prioritize and flag urgent matters requiring immediate attention.
- Draft and respond to communications on behalf of the attorney as appropriate.
- Organize and maintain correspondence for efficient retrieval.
- Manage complex calendars, appointments, meetings, and travel arrangements.
- Prepare itineraries and coordinate logistics for business travel and client meetings.
- Maintain attorney contacts and related administrative requirements.
Billing, Collections & Financial Coordination
- Coordinate billing processes and client invoicing activities.
- Prepare billing correspondence and client financial updates.
- Assist with tracking and monitoring matter budgets.
- Support alternative fee arrangement tracking and reporting.
- Assist with collections, follow-up and financial administration as needed.
- Partner with accounting and finance teams to ensure timely and accurate financial processes.
Business Development Support
- Support client development and relationship-building initiatives.
- Coordinate client events, meetings, and networking activities.
- Assist with the preparation of pitch materials, presentations, and client-facing documents.
- Maintain client databases and related business development records.
Technology & Workflow Optimization

The successful candidate will:
- Demonstrate advanced proficiency with Microsoft Office Suite and legal technology platforms.
- Utilize workflow management systems to organize, prioritize, and monitor work.
- Leverage automation tools and technology solutions to improve efficiency.
- Identify opportunities for process improvements and workflow enhancements.
- Quickly learn and adopt new technologies, software platforms, and AI-enabled tools.
- Help streamline administrative and legal support processes while maintaining exceptional accuracy and service standards.
Qualifications
- Bachelor's degree preferred or equivalent combination of professional experience and education.
- 5+ years of executive support, legal support, or professional services experience.
- 3+ years of legal assistant, legal administrative, or related legal support experience required.
- Experience supporting attorneys, partners, executives, or senior leadership.
- Experience within a law firm, wealth management firm, family office, trust company, or other professional services environment strongly preferred.
- Trust & Estate, Estate Planning, Fiduciary Administration, or Private Wealth experience is highly preferred.
- Demonstrated experience managing complex workflows and multiple priorities
