A great opportunity for an experienced Legal Executive Assistant supporting attorneys in a fast‑paced, high‑performing practice. This role is central to keeping legal operations running smoothly and ensuring exceptional client service.
Role Overview
The ELA serves as a trusted partner to attorneys-managing complex schedules, coordinating client interactions, preparing legal materials, and acting as the connective hub across the practice team. This position requires discretion, strong judgment, and the ability to anticipate needs before they arise.
Key Responsibilities
• Manage intricate calendars, deadlines, and multi‑time‑zone scheduling
• Coordinate with clients, internal teams (IT, Travel, Office Services), and external vendors
• Oversee detailed travel planning and logistics for attorney business trips
• Prepare agendas, meeting materials, background research, and due‑diligence packets
• Draft and format legal documents, including pleadings, notices, exhibits, and closing binders
• Support corporate and litigation tasks: UCC searches, e‑filings (federal/state/appellate), minute books, deposition scheduling, messenger services
• Maintain organized digital and physical files, including estate account files and client minute books
• Track follow‑ups, deliverables, matter openings, expenses, timesheets, and contact lists
• Serve as a polished, professional representative of the attorney and the firm
• Provide occasional evening/weekend support when needed
What Makes Someone Successful in This Role
• 5+ years of high‑level administrative experience (law firm or professional services preferred)
• Exceptional organization, time management, and communication skills
• Ability to stay calm under pressure and manage competing priorities
• Strong judgment, discretion, and client‑service orientation
• Mastery of Microsoft Office, Outlook calendaring, Zoom, and Teams
