Type: Temp to Hire
Schedule: Monday–Friday 7AM-3:30PM
Pay Rate: $19-21/hr.
Job Summary:
As a Sample Coordinator/Order Processor, you will be responsible for ensuring the accurate and timely processing and shipping of customer samples, maintaining customer satisfaction, and providing professional communication with internal departments and external customers. This role also includes supervising a Junior Sample Technician and performing their duties when necessary.
Key Responsibilities:
Guarantee customer satisfaction through excellent service and prompt communication
Supervise and support the Junior Sample Technician; review and assist with daily backorder list
Maintain personal productivity and meet established quality standards
Process and prepare customer samples, including generating SDS, Technical Bulletins, and Certificates of Analysis (COAs)
Prepare shipping documentation and packages daily for FedEx, UPS, or DHL
Communicate any shipping delays or special requirements with customers and the warehouse team
Manage customer inquiries, complaints, and concerns professionally and efficiently
Maintain accurate and organized records (both digital and paper)
Ensure daily interaction with warehouse staff regarding shipments and special requirements
Monitor and follow up on shipping status, including lost or delayed shipments
Respond to customer emails within the same business day
Report customer complaints immediately via the CAPA system
Abide by company SOPs, Quality Manual, and policies
Assist with annual inventory and other administrative tasks as needed
Provide backup support by performing Junior Sample Technician duties during absences
Qualifications:
Previous experience in customer service, logistics, or a related field preferred
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Ability to work independently and collaboratively
Proficiency with Microsoft Office and standard office software
Detail-oriented with strong follow-up and documentation abilities
Experience with shipping platforms (e.g., FedEx, UPS, DHL) is a plus
Familiarity with CAPA systems is an advantage
